IMPORTANT NOTES

This BBC Academy Live's BBC Verify on Tour database is intended for secondary schools, colleges, sixth forms, universities, or youth groups.

The registration form should be completed by a staff member working within these organisations. 

Once submitted, you will be added to the database and contacted about upcoming BBC Academy Live events. You can then choose to register attendance on behalf of your group.

Please ensure you register using your official work email address as this helps us verify your role within your organisation.

Individuals not working in a secondary schools, colleges, sixth forms, universities, or youth group will not be added to the database. 

BBC Academy Live presents BBC Verify on Tour: Database Registration Privacy Notice

Your trust is very important to us. The BBC is committed to protecting the privacy and security of your personal data. This privacy notice explains how we collect and use your personal data during and after your relationship with us, in accordance with data protection law.

1. Why are we doing this and how can you participate?

BBC Academy Live is the events and outreach part of BBC Academy and works in partnership with schools, colleges and youth organisations to provide young people with opportunities to engage with the BBC.

We collect your personal data so that we can invite your organisation to take part in BBC Academy Live events, including “BBC Verify on Tour”, either in-person or virtually, and to keep you informed about related opportunities aimed at young people.

Your personal data is collected via the BBC’s online platform (Uploader). Providing your information is optional, but without it we may be unable to contact you about BBC Academy Live events or include your organisation in future outreach opportunities.

2. What will the BBC collect and how will we use it?

We will collect and process the personal data you provide through our online registration form.

Personal data about you

• Your first and last name

• Your contact number (if provided)

• Your work email address

• Your job title

Data about your organisation and its young people

• Organisation name

• Organisation address

• Type of organisation (school, college, youth organisation or other)

How we use your personal data

• With your permission, we will contact you with invitations to events (in person and virtual), project updates and opportunities connected to BBC Academy Live.

• If you provide additional consent, we may also contact you with event or programme contribution opportunities from other BBC departments. You may withdraw your consent at any time by emailing academylive@bbc.co.uk or using the unsubscribe link in our emails.

• We track email engagement (e.g., when an email is opened and which links are clicked) to monitor the effectiveness of our communications and improve our service. This data is generally used in an aggregated and anonymised form and does not involve automated decision making that produces legal or significant effects.

• We use the information you provide to help us target the most appropriate organisations and young people for future communications.

Your personal data will not be used for automated decision making or profiling.

3. Who is the Data Controller?

The BBC is the “data controller” of your personal data. This means the BBC decides how and why your personal data is processed. Your personal data will be collected and used solely for the purposes set out in this privacy notice.

As the data controller, the BBC is responsible for complying with, and demonstrating compliance with, data protection law.

4. Lawful basis for processing your personal data

The BBC uses two lawful bases for the BBC Verify on Tour Database, depending on the activity:

Legitimate interests – for running and improving the BBC Verify on Tour Database

We rely on legitimate interests to process your personal data for activities that help us operate and improve BBC Academy Live. This includes:

• maintaining and managing the BBC Verify on Tour Database

• analysing email engagement (e.g., opens and link clicks)

• monitoring the effectiveness of our communications

• improving the services and opportunities we provide

We have assessed these interests and ensured they do not override your rights or interests.

Consent – for contacting you with opportunities and invitations

When we contact you via email or phone about:

• BBC Academy Live events

• BBC Verify on Tour

• Opportunities from other BBC departments

we rely on your consent, which you provide through our online registration form.

You may withdraw your consent at any time by emailing academylive@bbc.co.uk or using the unsubscribe link in our emails.

5. Sharing your information

The BBC works with approved suppliers who support us in delivering our services. These suppliers act as data processors and only process your personal data on behalf of the BBC. This includes a third party data storage provider used to store information collected through our online platform.

We may also share your personal data with third parties if required or permitted by law.

Your personal data will be stored within the UK and the EEA. If it is transferred outside these regions, we will ensure appropriate safeguards are in place.

6. Retaining your data

• We will retain your information for five (5) years.

• Towards the end of this period, we will contact you to confirm whether you wish to re register with BBC Academy Live.

• You can unsubscribe at any time by using the unsubscribe link in our emails or by contacting academylive@bbc.co.uk.

7. Your rights

You have rights under data protection law:

• You can request a copy of the personal data the BBC holds about you.

• You can request that we rectify inaccurate or incomplete personal data.

• You can ask for your personal data to be deleted, although there are limitations and exceptions which may allow the BBC to refuse your request.

• In certain circumstances, you can request that we restrict or object to the processing of your personal data.

• You can ask us to transfer your personal data to you or another organisation in certain circumstances.
